Follow up email after no response: 8 templates and a stop rule

Copy-ready templates for the follow up email after no response from a customer or prospect, in 8 situations from a first inquiry to a resolved support case. Each has a timing ladder, one clear ask and a stop rule. Word file and Excel follow-up log included.

1. Follow up email after no response to your answer

Start here

Use this when someone asked about your service, you answered, and then nothing. Send that first answer within 1 business hour. In a study of 1.25 million sales leads, firms that tried to contact a lead within an hour were nearly 7 times as likely to qualify it as firms that tried an hour later1.

Follow-up 1, subjectRe: your question about service

Follow-up 1, business day 2Hi first name,

One thing I did not mention on day: one new, useful detail, for example the earliest start date or what most customers in your situation choose.

Would you like me to one next step, for example book a free visit on Thursday? A yes or no is all I need.

Your name, company
phone

Follow-up 2, subjectShould I keep your request open, first name?

Follow-up 2, business day 5Hi first name,

I do not want to fill your inbox, so one short question: are you still looking for service?

Reply 'yes' and I will next step by date.
Reply 'no' and I will close your request. Both answers help.

Your name, company

Why wait 2 business daysIn a large email study, more than 90% of replies came within a day of the message2. After two quiet days, a reminder with something new is fair. 'Just checking in' is not.

For small sales and support teams

Give every follow-up an owner and a date.

In CRMsoftware.pro each next touch is a task with an Assignee and a Deadline, and My Tasks shows what is due today and overdue. You send the emails from your own mailbox. When a customer comes back on website chat, the AI agent answers.

  • Tasks with Assignee, Deadline and Linked deal, Notes on every contact
  • AI chat 24/7 that answers when a quiet customer comes back
  • Free for 3 users. Human handover from Launch, $19 a month billed yearly; saved replies on Growth, $49

Free plan: 3 users, AI chat and basic tasks, no credit card.

A quiet quote that came back on website chat

Harrowgate Heating & Air, a fictional heating and cooling company, quotes a heat pump and hears nothing back. In this follow up email after no response example, follow-up 2 gets the answer that evening on website chat, where the AI agent replies first.

Harrowgate Heating & AirFictional company and customer
CustomerTue 15 Sep, 21:40: Our furnace is 22 years old. Do you install heat pumps, and what does it cost?
AI agentYes, we install ducted heat pumps. The price depends on the house, so Ben, our estimator, gives a fixed quote after a free 45-minute visit. Could I take your name, email and phone so the office can book the visit tomorrow morning?
Visit on Thu 17 Sep · quote of $9,850 emailed Fri 18 Sep
Nora (office)Follow-up 1, Wed 23 Sep: Most people ask one thing about a quote like yours: do the ducts have to go? Yours passed Ben's check, so they stay. Is there anything in the quote you would like me to change?
Nora (office)Follow-up 2, Tue 29 Sep: Should I keep your heat pump quote open? A one-word reply is fine: Open, Later or Close.
CustomerTue 29 Sep, 21:12: Hi, it's Dana Whitfield. Open, but we can't do the install before 20 October. Does the price still hold?
AI agentThanks, Dana. Our quotes are valid for 30 days, and the office sets install dates. I have passed your message to Nora with the date you need. She will reply by 10:00 tomorrow, Wednesday.
Nora (office)Wed 30 Sep, 09:02: Good morning Dana, Nora here. Your price stays at $9,850 for an install after 20 October. Ben can do Thursday 22 October or Tuesday 27 October. Which suits you?
CustomerTuesday 27 October, please.
Nora (office)Booked for Tuesday 27 October from 8:00. I am emailing the confirmation and the deposit link now.

Why follow up

Why silence is usually not a no

Replies come fast, or they get buried. In a study of 2 million Yahoo Mail users who emailed each other regularly, more than 90% of replies came within a day of the message, and half within 47 minutes. The same study found that people who receive more email reply to a smaller share of it2. Two quiet business days usually mean your message slipped down the inbox, not that the answer is no.

The first answer matters most. In an audit of 2,241 US companies that received a test inquiry from their website, 37% replied within an hour, 24% took more than 24 hours and 23% never replied. In a separate study of 1.25 million leads, firms that tried to contact a lead within an hour were nearly 7 times as likely to qualify it as firms that tried an hour later1. The data is from 2011, so read it as a direction.

Following up has limits too: one job and one question per email, three follow-ups at most, and any answer, including no, stops the ladder.

Timing ladder

When to send a second follow-up email after no response

Count business days from Day 0, the first message that got no reply. Most situations get two follow-ups and a close-the-loop email; a missed call, a resolved case and a no-show get one follow-up.

SituationDay 0: first messageFollow-upsClose the loopStop or switch when
Inquiry, no replyYour answer, within 1 business hourBusiness days 2 and 5Business day 10Any reply, a booked visit or a no
After a quoteThe quote by emailBusiness days 3 and 7Business day 12Any reply. For a larger proposal, use the 5-email sales sequence
After a meeting or callThe recap, the same dayBusiness days 2 and 5Business day 10They send the item or confirm the next step
Missed callCall back, voicemail and email within 1 business hourA second call on business day 1Business day 3They call or write back. Text or WhatsApp only with consent
Waiting for informationThe exact list of what is missingBusiness days 3 and 7Business day 12, on hold until thenThe item arrives
Resolved support caseFix verified, please confirmBusiness day 2Business day 5: case closed, a reply reopens it'Fixed' or 'not yet'
No-showTwo new times, within 1 hourBusiness day 2Business day 5They rebook or cancel

Stop rule: stop at the first reply of any kind, at once when someone says no or stop, and after the close-the-loop email. With no reply 3 business days later, close the record as No reply, closed. An out-of-office reply is not an answer: move the next date to the day after they return.

Rules

Six rules for a polite follow-up email that gets an answer

They hold for any client follow-up email, in sales or in support. Agree on them once, for the whole team.

One clear ask per email

One question the reader can answer in a few words: yes or no, one of two times, one missing item. With two asks, people answer the easier one.

AskWould Tuesday at 10:00 or Thursday at 14:00 work for the visit?

Make no easy to say

Offer no as a normal answer and say what happens next. A clear no ends the ladder and frees your time.

LineIf the timing is not right, just reply 'not now' and I will close your request.

Change the angle, not the volume

Never 'just checking in'. Each follow-up adds one new thing: the answer to a common question, a new date, a simpler option or a photo of similar work.

Switch channel only with consent

Follow up where the conversation started. Call, text or message on WhatsApp only if they gave you that number for it and agreed. WhatsApp's policy requires an opt-in and respect for every request to stop3.

Stop at the first answer

Any reply stops the ladder, even 'not now'. A 'stop' ends every follow-up at once. In the US, an opt-out from commercial email must be honored within 10 business days6.

One owner, one date

Every open follow-up has one owner and one next-touch date, in your CRM or in the log. Without a date, the second follow-up is the one that never goes out.

This page is not legal advice. Rules for email, calls and messages differ by country, so check the official rules where your customers live.

Excel log

What is in the Excel follow-up log

Three sheets: Follow-up log with the filled example and 11 more sample rows, Summary, and Timing ladder with the business days per situation, your owners and the dropdown lists. Auto columns fill in by themselves.

ColumnWhat it does
Contact, situation, ownerOne row per person who went quiet. Situation and owner come from dropdowns.
Other channel OKYes only if they agreed to a call or a WhatsApp message about this.
Day 0, sent dates, reply dateThe first message that got no reply, the day you sent each follow-up and the day they answered.
Follow-up 1, follow-up 2, close the loop: due AutoDay 0 plus the business days on the Timing ladder sheet. Follow-up 2 stays empty when the ladder has none.
Replied after AutoFirst message, Follow-up 1, Follow-up 2 or Close the loop.
OutcomeMoved forward, Not now, Said no, Fixed, confirmed, Reopened or No reply, closed.
Next touch, next touch date AutoThe next message to send and its due date.
Status AutoWaiting, Due today, Overdue, Replied (log the outcome), Close now (3 business days after the close-the-loop email) or Closed.

In the sample, 6 of 12 people replied: 2 to the first message, 2 to follow-up 1, 1 to follow-up 2 and 1 to the close-the-loop email. On a weekday, 1 follow-up is due today, 1 is overdue and 1 record is ready to close under the stop rule. The Summary sheet adds outcomes, reply rate by situation and open work per owner. Works in Excel, LibreOffice and Google Sheets.

How to use

How to use this follow up email template set

  1. 1

    Pick the situation

Open the tab for what happened and fill in the brackets.

  2. 2

    Log Day 0

One row in the Excel log or one task in your CRM. The due dates follow the ladder.

  3. 3

Send one touch at a time

On the due date, send the next email with a new angle and one ask.

  4. 4

    Stop at the first answer

Log the reply date and the outcome. A no or a stop ends it at once.

  5. 5

    Close the loop

Send the last email, then close the record after 3 business days.

Set it up in CRMsoftware.pro

  1. Open Tasks in the left menu and click New Task. Enter a Task title such as 'Follow-up 1: Dana Whitfield, quote', pick the Assignee, set the Deadline to the next touch date and, for a sale, choose the Linked deal.
  2. Write Day 0, what you sent and any consent to call or message in Notes on the contact, lead or deal.
  3. Every morning, open My Tasks and clear Due today and Overdue first. Send the email from your own mailbox, write the result in the Status summary, click Mark done and create the next task.
  4. On Growth, save the chat versions as Saved Replies: Settings > Saved Replies > New reply, with a Shortcut such as /noshow, a Title and the Reply body. Type the shortcut in the chat reply box to insert it.
  5. When a quiet customer comes back on website chat, the AI agent answers from your Knowledge Base. In My Bots > Basics tab, add to Instructions who follows up on quotes and by when. On Launch, chats for a person wait in Live Support as Awaiting agent.

CRMsoftware.pro does not send follow-up emails or sequences for you: you send each one from your own mailbox, and tasks keep the dates. AI chat and basic tasks are free for 3 users. Human handover in Live Support comes with Launch, $19 a month billed yearly; saved replies with Growth, $49.

Weekly follow-up review, 10 minutes

  • Every open record has one owner and one next-touch date.
  • Overdue: send today, or move the date and write why.
  • Close now: close the record as No reply, closed.
  • Replied with no outcome: log the outcome today.
  • Lowest reply rate by situation: rewrite that first message.

FAQ

Follow-up email questions

How do you write a follow up email after no response?

Reply in the same thread, add one new thing, such as the answer to a common question or a new date, and ask one question they can answer in a few words. Make no an easy answer. Send at most two follow-ups and a close-the-loop email.

How long should you wait before sending a follow-up email?

1 business day after a missed call, 2 after an inquiry, a meeting, a no-show or a solved case, and 3 after a quote or a request for information. In a Yahoo Mail study, more than 90% of replies came within a day of the message2, so two quiet days usually mean the email got buried.

What should a second follow-up email after no response say?

Ask one yes or no question about keeping the request open, and say what each answer leads to: 'Reply yes and I will call on Thursday; reply no and I will close it.' Do not repeat the first email or write 'just checking in'.

How many follow-up emails are too many?

Here, three at most after the first message: two follow-ups and a close-the-loop email, and only two after a missed call, a resolved case or a no-show. Any reply stops the ladder; a request to stop ends it at once.

Can you show a polite follow-up email sample?

Here is follow-up 1 from the filled example: 'Most people ask one thing about a quote like yours: do the ducts have to go? Yours passed Ben's check, so they stay. Is there anything in the quote you would like me to change?' It is short, adds something new and asks one question.

What should a follow-up email after a meeting include?

Thanks, what you heard in two or three lines, the next step with a date and one thing you need from them, sent the same day. Tab 3 is a follow-up email after meeting example you can copy.

How do you follow up after a support case is resolved?

Verify the fix yourself, ask the customer to confirm with one word, tell them how to reopen the case and ask before you send any survey. Check in once on business day 2 and close the case on day 5; a reply reopens it.

Can I follow up by phone or WhatsApp instead of email?

Yes, if they gave you the number for that and agreed to hear from you there. WhatsApp's business policy requires opt-in permission and respect for every request to stop3. Without consent, stay on the channel they used.

Can CRMsoftware.pro send follow-up emails automatically?

No. There are no automated follow-up sequences: you send each email from your own mailbox. CRMsoftware.pro keeps the timing: each next touch is a task with an Assignee and a Deadline, and My Tasks shows Due today and Overdue. When a customer comes back on website chat, the AI agent answers.

Never lose a quiet customer to a forgotten follow-up.
