Welcome email templates for new customers, by moment
Fill-in welcome email templates for the moment a new customer arrives: after a purchase, a signed contract, an account signup, a new student or member, a patient or client intake, and a newsletter subscriber. Each has a subject line, one next step, a send-time rule and what to leave out, plus lines for 9 industries, a Word file and an Excel sequence planner with a sent log.
1. Welcome email template: five parts and one next step
Start herePick the moment in tabs 2 to 7, or use this general version. The receipt and the booking confirmation are separate, automatic emails; the welcome comes from a named person.
The five parts
- Subject with their name and the first date'Welcome to company, first name: first thing on day'.
- Thanks and who you areOne line of thanks, your name and role, and that you are their contact.
- What happens next, with datesTwo or three numbered lines: what, when, with whom.
- One next stepOne thing for them to do, by when, and how.
- Who to contact and howReply to this email, a phone number, your hours. Never no-reply.
General welcome emailSubject: Welcome to company, first name: first thing on day
Hi first name,
Thank you for choosing company for what they bought. I am your name, your role, and I am your contact for anything about it.
What happens next:
1. Day, date, time: first session, delivery or kickoff, with who.
2. Date: second thing.
3. Every week or month: what they get, in one line.
One thing to do before day: the one step. Reply to this email, or use this link: link.

Short version, chat or textHi first name, your name from company. Welcome. First thing is on day at time. One thing before then: the one step. Questions: reply here or call phone.
Leave out of the first email
- A second ask, a survey or a review request.
- An upsell, a discount code or 'you may also like'.
- Your story, a feature list, more than three links, anything already in the receipt.
Transactional or commercial?Under the US CAN-SPAM Act, an email whose only content confirms, completes or delivers a transaction the person agreed to is transactional: no opt-out link or postal address is required, but headers and sender must be accurate. Add an offer, and the whole message can count as commercial1. Google says it plainly: no promotions in receipt messages2. More in the rules section.
2. Welcome email after a first purchase (shop or product)
Send when
- The shop sends the order confirmation at once. This welcome follows within 1 business day, from a named person.
- If you already send a first-order thank-you, do not send two emails: add the 'what happens next' lines to it. The thank you email templates cover that one.
SubjectWelcome to shop, first name: what happens with your order
EmailHi first name,
Thank you for your first order with shop. I am your name, your role, and the person to write to if anything about it is not right.
What happens next:
1. By date: your order leaves us. The tracking link comes by email the same day.
2. Date to date: delivery, by carrier.
3. What to expect after delivery, for example a care guide in the box.
One thing that helps: reply with delivery instructions, for example a gate code.
Questions? Reply here or call phone, hours.

If the product needs setupHi first name, your product arrives on date. Setup takes about minutes minutes: setup guide link. If you get stuck, reply with a photo and I will walk you through it.
Keep the receipt cleanGoogle's sender guidelines tell senders not to mix content types in one message, for example promotions in a sales receipt2. Keep the discount for a later, clearly commercial email with an unsubscribe link.
3. Welcome email to a new client after a signed contract
Send when
- The same day the agreement is signed or the first payment lands, 1 business day at the latest, from the person who will run the work.
- For a project with a kickoff call and a 30-day plan, use the welcome message in the customer onboarding checklist; for the same-day email after the yes with dates on both sides, the sales email templates. This one is for a small service business where one person stays the contact.
SubjectWelcome to company, first name: first step on day
EmailHi first name,
Thank you for choosing company for the service. I am your name, your role, and your contact for anything about it. Colleague will run your sessions or handle the books, and I stay in the loop.
What happens next:
1. Day, date, time: first session, visit or call, where or how.
2. Date: first result, for example the first report.
3. Every week or month: what they get, for example a short update by email on Fridays.
One thing we need from you before day: the one item, through secure link. Or just reply to this email.

B2B is not exemptCAN-SPAM makes no exception for business-to-business email1. A welcome that only confirms what the client agreed to is transactional; the moment it sells something else, it needs an opt-out and your postal address.
4. Welcome email after a signup or free trial (SaaS, app)
Send when
- Within the hour of the signup, while the tab is still open. The login or verification email is a separate, automatic email: never bury it in the welcome.
- One action that shows the product's value. Not a feature list, not five links.
SubjectWelcome to product, first name: your first result takes minutes minutes
EmailHi first name,
Thank you for signing up for product. I am your name, your role, and I read every reply to this email.
The one thing to do first: first action, for example connect your calendar. It takes about minutes minutes: link.
What happens next:
1. Your trial runs until date. Everything is on; nothing is charged.
2. On day I will send one email with the second step. That is the only other email this week.
3. Want a 15-minute walkthrough? Pick a time: booking link.
Stuck? Reply with one line and I will help.

A person, not a systemSend from a named address a person reads, not from no-reply. Google notes that messages from an address in the recipient's contacts are less likely to be marked as spam2.
5. Welcome email to a new student, member or supporter
Send when
- The day the enrollment, membership or first gift is confirmed. If the first session is more than a week away, send a short second email the day before it.
- Students under 18: write to the parent, name the student, keep the student's login separate.

2. Bring or prepare: one or two items.

6. Welcome email for a new patient or client intake
PrivacySend when
- As soon as the first appointment is booked, from the front desk or the person who manages the file. The day-before reminder is a separate message.
- Nothing about their health, case or claim in the email. Forms and documents go through a secure portal or link, never as attachments to a normal email.
SubjectWelcome to practice, first name: your first visit on day
EmailHi first name,
Thank you for choosing practice. I am your name, your role, and your contact for appointments, forms and billing. Clinician or professional will see you.
What happens next:
1. Day, date, time: your first visit at address. Please arrive 10 minutes early.
2. Before the visit: the intake forms, about 5 minutes, through this secure link: secure link.

Dental, hospitality and insuranceThe dental, hospitality and insurance welcome email templates cover those businesses in more detail: new patient, booking confirmed, new policy. This tab gives the shared structure.
7. Welcome email to a new newsletter subscriber
Send when
- Within the hour of the signup, automatically from your newsletter tool, or by hand if the list is small.
- A commercial email: your postal address and an unsubscribe link go in, and the subject line says what it is1.
SubjectYou are in, first name: what newsletter sends, and when
EmailHi first name,
Thank you for subscribing to newsletter from company. Here is the deal: one email every week or month with what it contains, in one line, and nothing else. The first one comes on day.
One thing that helps: reply with the one topic you want covered first. I read every reply.
So the emails arrive, add sender address to your contacts. Not for you? Unsubscribe with one click at the bottom of any email.

EU subscribersIn the EU, marketing email needs prior consent; the one exception is your own existing customers, for similar products, with a way to object in every message3. Consent means no pre-ticked box, and as easy to withdraw as to give4. A promised discount goes in this email and nowhere else; senders of 5,000 or more a day to Gmail also need one-click unsubscribe2.
8. Welcome email templates by industry: what changes
The five parts stay the same. What changes: the moment, the first date and the one next step. The tab in brackets is the one to start from. Hospitality, dental and insurance have their own welcome email pages.

What changesWho does the work and who stays the contact. First date: the kickoff or the onboarding date. One step: the access or documents you need; credentials never by email.

8.2Ecommerce and retail (tab 2)
What changesReceipt and tracking are automatic. The welcome adds a named person, the delivery window and how returns work.
Ready lineIf anything in the box is not right, reply with a photo within 14 days and I will replace it or refund you.
8.3Education, courses and tutoring (tab 5)
What changesWrite to the parent for students under 18. First date: the first session. One step: the level form or the last test.
Ready lineAfter each session you get a 3-line note: what was covered, what went well, what to practice.
8.4Healthcare, dental and law firms (tab 6)
What changesNo health or case details by email. Forms and documents through a secure link; the email explains the process, not the matter.
Ready lineWe do not discuss health or case details by email. For anything about your care or your matter, call us on phone.
8.5Nonprofits (tab 5)

Why it works
Why a welcome email gets read, and why it must stay a welcome
People open welcome emails. In GetResponse's analysis of more than 4.4 billion messages its customers sent in 2023, welcome emails had an average open rate of 83.63% and a click-through rate of 16.6%, against 40.08% and 3.84% for newsletters5. That is one provider's data from marketing senders, so read the exact numbers as a direction: the first email after someone says yes is the one they read, and the wrong place for five links.
The law and the inbox providers agree. Under the US CAN-SPAM Act, a message is transactional only if its whole content confirms, completes or delivers a transaction the person agreed to; the FTC says the law views those categories narrowly, and a mixed message counts as commercial if the promotional part would strike the reader first1. Google's sender guidelines tell senders not to mix promotions into receipt messages2. One next step, no offer, a named sender: that is why these templates look the way they do.

Rules
Transactional or commercial: the rules a welcome email must follow
Two laws and one inbox provider decide whether your welcome lands and whether it needs an unsubscribe link. Not legal advice.
US: transactional only while it is the transaction
Under CAN-SPAM, the primary purpose is transactional or relationship when the message consists only of content that confirms, completes or facilitates a transaction the recipient agreed to, gives warranty, recall or safety information, reports account or membership changes, or delivers the goods or service; the FTC says the law views these categories narrowly. A mixed message is commercial if the subject line reads as an ad or the transactional part does not come first. Commercial email needs accurate headers, an honest subject line, a note that it is an ad, your valid physical postal address and an opt-out honored within 10 business days. Each email in violation can cost up to $53,088; there is no exception for B2B email1.
EU: consent first, except your own customers
The ePrivacy Directive allows email for direct marketing only with prior consent. The exception: a business that got the address while selling may market its own similar products or services, if the customer could object when the address was collected and can object in every message, free of charge3. The service email itself needs no consent: it is part of the contract, a basis the EDPB says does not stretch to marketing. Consent means no pre-ticked box, and as easy to withdraw as to give4.
Deliverability: authenticate, do not mix, one-click unsubscribe
Google's guidelines for all senders: SPF or DKIM, TLS, messages formatted per RFC 5322, a spam rate below 0.3%. Do not mix content types in one message, for example promotions in a sales receipt, and keep the same From address for each message type. Senders of 5,000 or more messages a day to Gmail also need SPF, DKIM and DMARC with the From domain aligned, and one-click unsubscribe with a visible link in marketing and subscribed messages2.
Readable for everyone
Send a plain-text version with the HTML, so the email reads on any device and screen reader. Put the next step in real text, not in an image, and make every link say where it goes: Google asks that links be visible and easy to understand and that nothing is hidden with HTML or CSS2.
This page is not legal advice. US states and other countries have their own email rules; check the official rules where your customers live.
Welcome sequence
A welcome email sequence for a small business: 4 emails in 14 days
After the welcome, three short emails carry the customer to the first result. Each has a day, one purpose and a stop rule; the Excel planner holds the plan with owners and send-by times.
| Day | What it does | Stop rule | |
|---|---|---|---|
| Welcome | Day 0 | Thanks, who you are, what happens next with dates, one next step, how to reach you | None: everyone gets it |
| Before the first session, delivery or login | The day before | The link or address, the time, what to bring, who they will meet | Skip it if the first thing already happened |
| After the first session or delivery | Same day, within 2 hours | Three lines: what happened, what went well, what comes next | A problem in their reply stops the sequence: call, fix it, resume |
| Two-week check-in | Day 14 | Two questions: what works, what does not. One ask: a date for the next step | No review or referral ask while a problem is open |
| Day 30 and later | Day 30 | The review or referral ask and the first offer, as a separate commercial email | Only to people who can opt out; see the thank you email templates and the NPS script |
A subscriber gets the welcome and then the newsletter at the promised rhythm; a trial user gets the welcome, one email with the second step, and the trial-end email. A pure thank-you after a first order: the thank you email templates. The first line a visitor sees in chat is a different thing: the chatbot welcome message templates.
Excel planner
What is in the Excel welcome sequence planner and sent log
Four sheets: Planner with the Ashgrove Tutoring sequence, Sent log with 13 sample emails, Summary and Lists. Auto columns fill in by themselves.
| Column | What it does |
|---|---|
| Planner: Moment, Email, Day, Send by, Owner, Status | One row per email in your sequence: the moment, its name, the day counted from the start date, the send-by rule, who sends it, and whether it is in use, a draft or paused. |
| Planner: Next step asked | The one thing the email asks for. |
| Sent log: Customer, Student or account, Moment, Email | One row per email per customer. Pick the email from the planner list. |
| Start date | The day they became a customer: the order, the signature, the signup or the booking. |
| Due date Auto | Start date plus the email's day from the planner. |
| Sent date, Status Auto | Type the day you sent it. Status says Scheduled, Due today, Overdue, On time or Late. |
| Reply, Next step booked | Yes or No: did they reply, and did the one next step happen. |
| Summary Auto | Logged, sent, on time, late, overdue now, replies and next steps booked, with rates, by email and by owner. |
In the sample, 9 of 13 emails were sent, 7 on time; 2 are scheduled, 1 is due today and 1 is overdue. 4 of the 9 sent got a reply and 6 led to the next step. Works in Excel, LibreOffice and Google Sheets.

- Website chats and web forms land in Leads. When the person pays or signs, open the lead and click Convert to Deal: the contact, the company and the deal are created. Paste the welcome you sent into Notes on the deal.
- In Tasks, click New Task for each email in the sequence: Task title (for example 'Welcome email: Rafael Quintero'), Assignee, Deadline and Linked deal. My Tasks shows Due today and Overdue; Mark done after you send.
- On Launch, Scheduling sends a Booking Confirmation email to anyone who books a time, and a Meeting Reminder before it. Under Scheduling > Emails, edit the Email Subject, Heading and Body Text, then Save Template. Create the intro call under Event Types > New Event Type and use Copy Link in your welcome.
- In My Bots > your bot > Basics tab, add your getting-started guide to the Knowledge Base and, in Instructions, tell the AI agent who the new-customer contact is and what happens after signup. Save Bot, then Try Bot. On Growth, keep the chat version under Settings > Saved Replies > New reply: a Shortcut such as /welcome, a Title, the Reply body, Share with team.
CRMsoftware.pro does not send welcome emails or email sequences: you send them from your own mailbox or newsletter tool, and the CRM keeps the contact, the deal, Notes and the tasks. Leads, 1 pipeline, Notes and basic tasks are free for 3 users. Bookings with calendar sync and their confirmation emails come with Launch, $19 a month billed yearly; Saved Replies with Growth, $49.

FAQ
Welcome email questions
What should a welcome email to a new customer say?
Five things: thanks and who you are, what happens next with dates, one next step, how to reach a person, and a subject line with their name and the first date. Leave out offers, feature lists and a second ask. Tab 1 has the general template; tabs 2 to 7 adapt it per moment.
How do you write a welcome email to a new client after signing?
Send it the same day the agreement is signed or the first payment lands, from the person who runs the work. Name who does what, give the first date and the first result date, ask for the one thing you need through a secure link, and give a phone number with hours. Tab 3 has the template and the client's reply.
When should a welcome email be sent?
Within the hour for a signup or a subscriber, the same day (1 business day at most) for a signed contract, 1 business day after a first order, and as soon as the first appointment is booked for a patient or client. Receipts and booking confirmations go out at once; the welcome from a named person follows.
Is a welcome email transactional or commercial?
In the US it is transactional only if its entire content confirms, completes or delivers what the person agreed to; then no opt-out link or postal address is required, though sender and headers must be accurate. Add an offer and it can count as commercial, which needs an opt-out, a postal address and an ad disclosure1. A newsletter welcome is commercial.
Do I need consent to send a welcome email in the EU?
Not for the service email itself: it is part of the contract. Marketing email needs prior consent, except to your own customers for similar products, and only with an easy way to object at collection and in every message34. Not legal advice: check the rules of the country where your customer lives.
What is a welcome email sequence, and how many emails should it have?
The welcome plus the emails that carry a new customer to the first result: for a small business, four in 14 days. The welcome, the day before the first session or delivery, the same day after it, and a two-week check-in, each with an owner, a send-by rule and a stop rule.
Do you have welcome email templates for my industry?
Tab 8 covers consulting and agencies, ecommerce and retail, education and tutoring, healthcare and dental, law firms, nonprofits, real estate, SaaS and apps, and IT services, with what changes and a ready line each. Hospitality, dental and insurance have their own pages.
Can CRMsoftware.pro send welcome emails automatically?
No. CRMsoftware.pro does not send welcome emails or drip sequences; you send them from your own mailbox or newsletter tool. The AI agent answers new-customer questions on your website 24/7, bookings send their own confirmation and reminder emails on Launch, and each email in the sequence is a task with a Deadline. Free for 3 users6.
