Sales call script templates for warm and inbound calls
Fill-in sales call script templates for people who asked to hear from you: a new lead callback, an inbound call, voicemail and text, a quote follow-up, the decision call and a renewal call. All follow one 5-step call flow, with lines for 8 industries, a Word file and an Excel call log.
1. Sales call script template: the 5-step call flow
Start hereFor warm and inbound calls: the person asked to hear from you, called you, or is a customer. For calls to people who did not ask, use the cold call sales script.
The five steps
- Name and reasonWho you are, and what they asked about, in their words.
- Time and agendaHow long it takes and what you will cover. Ask if now is a good time.
- RecapSay back what you already know, so they need not repeat it.
- One questionThe one question that decides the next step. Then listen.
- Next step with a dateOne step, with a day and a time, agreed before you hang up.
The flow in five linesHi first name, this is your name from company. You asked about their request.
I need about 10 minutes: I will check what you told us, ask one or two questions and suggest a next step. Is now a good time?
So far I have what they told you. Is that right?
Your one question?
Then the next step is next step. Does day at time work for you?
After the call, before the next one
- Write the recap in your notes: their words, numbers and dates.
- Make the next step a task with an owner and a deadline, log the call and email a short recap the same day.
No date, no next step'I will get back to you' is not a next step. If they cannot pick a day, agree on when you will call to pick one.
2. New lead callback script: call within the hour
Speed mattersCall when
- Within 1 hour of a web form, chat or booking request, in your business hours: leads called within the hour were far more likely to reach a decision maker1.
- At the time they chose, if they chose one. Evening leads: in the first hour of the next business day.
OpeningHi first name, this is your name from company. You asked about their request on our website today. Is now a good time for 10 minutes?
If now is not goodNo problem. Is later today at time or tomorrow at time better? I will call you from this number.
Recap and one questionYou wrote that you need what they wrote, for their date. Before I suggest anything, one question: your one question?
Next stepThank you, that helps. Then I will send a written quote / book a visit / book a demo by day at time. Can we talk again on day at time to go through it?
Say which number you call fromIn a 2020 survey, 80% of US adults said they generally do not answer calls from unknown numbers2. In your chat, form confirmation or email, say who will call and from which number.
3. Inbound sales call script: answer the phone and book
AnswerThank you for calling company, this is your name. How can I help?
Name and number firstHappy to help. In case we get cut off, may I have your name and the best number to call you back?
Recap and one questionSo you are looking for what they asked for, for their date. One question, so I give you the right answer: your one question?
If they ask the price firstFair question. It depends on the two things that change the price. For their situation it is usually your range, if you have one. You get the exact price in a written quote by time.
If you do not know the answerI do not want to guess. I will check with colleague and call you back by time today.
Next stepCan I send the quote / book a visit / hold the date for day at time? After this call I will send you a short recap by email.
Voicemail greeting for your phoneYou have reached company. Leave your name, your number and what you need, and we will call you back within 1 business hour. You can also write to us in the chat on website.
4. Voicemail and text after a missed sales call
When they do not answer
- Try 1One voicemail, under 20 seconds: who you are, why you call, your number. Then one text, if they agreed to texts.
- Try 2Later that day or the next business day, at another time of day. No second text.
- Try 3Business day 3: a last call, then a short email that says it is your last try.
VoicemailHi first name, this is your name from company, calling about their request. I will try again at time, or call me on phone. Thanks.
TextHi first name, your name from company. I left a voicemail about their request. I will call again at time, or call phone.
Last try, by emailHi first name,
I tried to reach you on day and day about their request. This is my last try, so I do not keep calling.
If it is still on your list, reply with a good time or call me on phone. If not, no reply is needed.
your name, company
Texts are callsText only a mobile number they gave you for contact, or called you from. In the US, texts count as calls, and Do Not Call protections cover texts3. If they reply stop, stop: FCC rules adopted in 2024 say people may revoke consent in any reasonable way4.
5. Follow-up call script after a quote or proposal
Call when
- On the day and time you agreed when you sent the quote: agree on that call before you send it.
- No time agreed? Two business days after you sent it.
OpeningHi first name, your name from company. As agreed, I am calling about the quote for project that I sent on day. Is now still a good time?
Three questionsWhat questions came up when you read it?
Does it cover everything you need for their date?
Is anything different from what you expected?
Ask about the decisionWhat do you and other decision maker need to decide, and by when?
If they have not read itNo problem. Shall I take you through it now in five minutes, or call you back on day at time?
If the price is above their planThank you for telling me. Which part is above your plan? I can show you what changes if we remove or change one item.
Not 'just checking in'Call with a reason: their questions, their date or one change you can offer. If the quote has an end date, say it once, as written. For price and timing objections, use the sales objection responses.
6. Closing call script: recap, ask, confirm
Use it when
- Their questions are answered and you agreed on a decision date.
- The person who decides is on the call.
RecapLet me check I have everything: you need what they need for their date. The quote is total for what is included, and the question they had is answered. Is that right?
AskAre you ready to go ahead?
Then stopAsk once, then wait. A few seconds of silence is fine.
If yes: confirmThank you. Here is what happens next: first step, for example the deposit invoice today, next step on date and delivery or start on date. I will email you this recap by time.
If not yetThat is fine. What would you need to see or know to decide? Can we talk again on day at time?
If noThank you for telling me. May I ask what made the difference? I will close this on our side. If anything changes, call me on phone.
7. Renewal and upgrade call script for customers
Call when
- Renewal: 60 to 90 days before the renewal date, so there is time to fix problems.
- Upgrade or next order: after a result they can see, or when they mention a new need.
OpeningHi first name, your name from company. Your service renews or ends on date, and before then I would like 10 minutes on how it went. Is now good?
Three questionsWhat worked well?
What did not work, or took too long?
What changes for you in next year or season?
Offer, only if it fitsYou said new need, in their words. Option would cover that, for price change. Shall I add it to the renewal quote, or keep everything as it is?
If they want to leaveThank you for telling me early. What would we have needed to do differently? I will make sure the last delivery or handover goes smoothly.
Past customers in the USYou may call a consumer whose number is on the National Do Not Call Registry for 18 months after their last purchase, delivery or payment, unless they asked you not to call5.
8. Sales call scripts by industry: what changes
The call flow stays the same. What changes per industry: what you ask and the next step. Say the ready line after your recap.
8.1Dental and health clinics
What changesPatients ask about cost and insurance first. Book the exam; never quote treatment before it. Voicemails: name, practice and number only.
Next stepA first visit with a date and time.
Ready lineFair question. The exact cost depends on what the dentist finds, so let us start with a first visit. I have day at time. Shall I book it for you?
8.2Hospitality and events
What changesDate and guest count first. Check that the date is open before you talk about price.
Next stepA site visit, a tasting or a written quote. Hold a date only with a deposit.
Ready lineBefore I send anything: is date fixed, and about how many guests are you expecting? Let me check that the date is open.
8.3Recruiting and staffing
What changesTwo buyers: the hiring manager and the candidate. Ask only about the job: skills, pay range, start date.
Next stepEmployer: a shortlist by a date. Candidate: an interview time.
Ready lineYou need a role by date. How many people have you interviewed so far, and what was missing?
8.4Retail stores
What changesCallers ask about stock, price or an order: check before you answer. In the store, use the same flow face to face.
Next stepA pick-up time, or a hold until a set time.
Ready lineI have the item in size or color. Shall I hold it for you until time tomorrow?
8.5Selling to small businesses
What changesThe owner does everything. Call at the time they chose, keep it to 10 minutes, use their numbers.
Next stepOne small step: a trial, a visit or a quote.
Ready lineI know you have a business to run, so 10 minutes. You said problem costs you about their number a week. Is that still right?
8.6Home services
What changesAsk for the address, photos and how urgent it is. Give an arrival window, not a firm price before you see the job.
Next stepAn estimate visit with a 2-hour window.
Ready lineCan you text me two photos of the problem? Then I can book the visit on day between time and time.
8.7Real estate
What changesBuyer or seller first, then timing, and financing for buyers. Describe homes, never who lives in an area.
Next stepA showing or a listing appointment.
Ready lineAre you looking to buy, to sell, or both? And what timing are you working with?
8.8B2B services and software
What changesWhoever asked for the demo rarely decides alone. Ask who else is involved.
Next stepA demo or a discovery call with the person who decides.
Ready lineWho else will be part of this decision, and should they join the demo on day?
Regulated industriesIn healthcare, insurance, finance and real estate, follow your license and industry rules. Never promise a result, rate or price that is not in writing.

Why it works
Why warm sales calls need speed, a voicemail and a date
Interest fades within hours. When researchers sent a test inquiry through the websites of 2,241 US companies, 37% responded within an hour, and 23% never responded at all. In a separate study of 1.25 million leads, firms that tried to reach a lead within an hour were nearly 7 times as likely to have a meaningful conversation with a decision maker as firms that tried an hour later, and more than 60 times as likely as firms that waited 24 hours or longer1. The data is from 2011, so read it as a direction.
Calling fast is not enough if nobody picks up. In a 2020 Pew Research Center survey of 10,211 US adults, 80% said they generally do not answer a cellphone call from an unknown number, and 67% said they let it ring and then check the voicemail2. So the scripts tell the lead who will call and from which number, and every missed call gets a short voicemail and, where they agreed, one text.

| Renewal or upgrade | 60 to 90 days before renewal | What worked, what changes, a renewal quote | Their answers in the notes, the renewal date |

Calls and texts
Rules for warm sales calls, voicemails and texts
Warm does not mean anything goes. Three rules keep your calls welcome and, in the US, your texts within the law.
Text only with consent, and once
Text only the mobile number a lead gave you for contact, only about what they asked for, and say who you are. Texts count as calls under US law, and sales texts sent automatically need prior express written consent3. If they reply stop, stop: FCC rules adopted in 2024 say people may revoke consent in any reasonable way, such as replying 'stop'4.
Old leads and past customers
In the US, an inquiry lets you call a consumer whose number is on the National Do Not Call Registry for 3 months, and a purchase, delivery or payment for 18 months. A request not to call ends it. Most sales calls to businesses are exempt5. Older leads are cold calls.
Three tries, then close the loop
Try 1: a call, a voicemail and one text. Try 2: later that day or the next business day, at another time. Try 3, on business day 3: a last call and a short last-try email. Then stop, and log why.
This page is not legal advice. These are US federal rules; US states and other countries have their own rules on sales calls and texts, so check the official rules where your buyer lives.
Excel log
What is in the Excel call sheet and call log
Four sheets: Call sheet with the Meadowlark Event Rentals example, Call log with 12 sample calls, Summary and Lists. Auto columns fill in by themselves.
| Column | What it does |
|---|---|
| Call sheet Auto | Type your nine fields over the example. The sheet writes the opening, recap and question, next step, voicemail and text, with word and character counts. |
| Call date and time, contact, company, segment | One row per call. Edit segments and owners on the Lists sheet. |
| Call type, owner, try | One of the five call types; who called; try 1, 2 or 3. |
| Result | Reached, Voicemail and text, or No answer. |
| Lead in, or time they chose | For new lead callbacks, on try 1: when the lead came in, or the start of the time they chose. |
| Minutes to call, within 1 hour Auto | How long the lead waited, and Yes or No against the 1-hour rule. |
| Next step agreed, next step, date | Yes or No, what was agreed and its date. |
| What to do next Auto | Booked, Add the next step date, Try again at another time of day, Close the loop by email, or No next step: log why. |
In the sample, 8 of 12 calls reached the buyer and 7 of those 8 ended with a next step. 3 of the 4 timed new leads were called within an hour; the one called after 150 minutes was not reached in 3 tries. The Summary sheet splits results by call type, segment and owner. Works in Excel, LibreOffice and Google Sheets.

FAQ
Sales call script questions
What is a sales call script template?
A fill-in outline of what to say on a sales call: who you are and why you call, a recap, one question and a next step with a date. This page has one for each warm call type, from a new lead callback to a renewal call.
What should a sales call script include?
Five steps: your name and the reason for the call, how long it takes, a recap of what they told you, one question that decides the next step, and one next step with a day and a time.
How quickly should you call back a new lead?
Within an hour, or at the time they chose. In a study of 1.25 million leads, firms that tried to reach a lead within an hour were nearly 7 times as likely to reach a decision maker as firms that tried an hour later1.
What is an inbound sales call script?
A script for when a prospect calls you: answer with your company and name, get their name and number in the first minute, recap their need, ask one question and book a next step. If you cannot answer, promise a callback by a time you can keep.
What do you say on a follow-up call after a quote?
Give the reason first: you agreed to talk about the quote you sent on a given day. Ask what questions came up and whether it covers their date, then what they need to decide, and by when. Never call just to 'check in'.
How do you close a sales call?
Recap what they need, the price and what is included, then ask once: 'Are you ready to go ahead?' and wait. If yes, confirm the next steps with dates and email a recap the same day. If not yet, ask what is missing and agree on a date.
Can I text a lead after a missed call?
In the US, yes, if they gave you their mobile number for contact or called you from it, and the text is about what they asked for. The FCC treats texts as calls, and automated sales texts need prior express written consent3. Send one text and stop when they ask4. Outside the US, check your local rules.
Do you have sales call scripts for my industry?
Tab 8 covers dental and health clinics, hospitality and events, recruiting and staffing, retail stores, selling to small businesses, home services, real estate, and B2B services and software, with what changes, the next step and a ready line. The call flow is the same in every industry.
How do I log sales calls in CRMsoftware.pro?
Call from the phone you already use, then log the call: write what the lead said in Notes on the lead or deal, add a task with a Deadline for the next call and move the deal to its stage. The website AI agent can collect a lead's phone number and a good time to call in chat. Leads, 1 pipeline and basic tasks are free for 3 users6.
